Integrates with Personnel Director

Recruitment Director can be used as a stand-alone management information system, or can be implemented alongside Personnel Director (the enterprise-level client-server personnel system from Vizual) to provide an integrated recruitment and personnel system. Recruitment Director enables users to record details on an unlimited number of candidates and vacancies; the details of successful candidates are seamlessly transferred to Personnel Director as employee records. Integration of the systems gives user control of recruitment and personnel administration, from start to finish.

Recruitment details

The system enables users to record details of vacancies (including an archive of old vacancies) and details of all candidates who have applied for a position. During the processing of applications, the system manages details of interviews, reference requests and job offers. In addition, the system can record details of recruitment campaigns and marketing activities This enables the user to manage and analyse the costs and effectiveness of marketing activities.

Fully Customisable system

With the powerful screen design tool included in Recruitment Director, users can manage the features and benefits provided by their system. This is done by adding or modifying screens and data-fields. User-defined screens are fully integrated with the system database, and with the letter-generation, reporting and security tools provided.

Reporting Tools

The standard Recruitment Director system includes a wide variety of pre-defined report templates. These are designed to report on all aspects of the recruitment process. Reports can be viewed on-screen, printed; copies can be sent via e-mail or published on a web-server.  Users can modify the standard report templates if required, but further to this, they can also create new report templates using the design tool.

Centralised Action List

Recruitment Director incorporates a centralised action list designed to manage details of any actions associated with recruitment activities, and to ensure users never miss key dates. Actions are allocated to individual users and given an action-by date. In addition, actions can be associated with any record, in any screen (for example, a particular interview) enabling the user to categorise actions as required.

Applicants Matching and searches

User can search the candidate details recorded in the database for candidates whose attributes match attribute profiles defined for vacancies. In addition, users can define one-off searches based on the candidate attributes, or search attached documents (for example CVs) for keywords

Automation of administrative tasks

The system enables the user to consider a candidate for any number of vacancies, and as these applications progress through the various recruitment stages (invite for interview, offer position, etc.) the system will initiate the appropriate automation. Not only does this help to maintain standards of recruitment (as a standard approach is always taken), but it also saves the user time in processing applications. The automation also ensures that a history of all contact with candidates is retained. The stages of the recruitment process and the letters generated by the automation are defined by the user.

Letter generations

Recruitment Director contains ready-to-merge recruitment letters created using MS Word. These include acknowledgement letters, interview invitations, regret letters, reference letters, job offers, etc. Users can modify these standard letters or add their own standard letters as required. Letters can be sent to candidates as part of the automation, or as and when requested; these can be printed and posted or delivered via e-mail.

To generate letters and e-mails, the RS Template uses MS Office applications (MS Word and MS Outlook). The system can link to MS Office 97, MS Office 2000 and MS Office XP applications.

Using Recruitment Director in Recruitment Businesses

There are at least 2 types of organisation whose main business activity is recruitment. These can be referred to as recruitment consultants and recruitment agencies. Both these types of companies will benefit greatly from using a management tool such as Recruitment Director as the system can offer them some significant time/efficiency/costs savings.

Recruitment consultants might be defined as those companies who predominantly focus on placing permanent staff with their clients (normally for a one-off fee); recruitment agencies employ staff themselves who then work as temporary staff at client sites. In practice it is quite common for recruitment businesses to provide a combination of both of these services to their clients.

Recruitment Director is not specifically designed for use in a recruitment business; it is designed for use in a team working within an organisation (recruiting staff to work for their own organisation). The RD system however only requires a simple modification to make it suitable for use by recruitment consultants and these changes are detailed in the linked document below. Where businesses are employing staff and placing them at client sites (agencies), they will need to manage these individuals as employees (and will therefore need to manage the type of information managed in PD).
